# Toner SLA Shortfall Charges: What They Are and How They Work

## What is a toner SLA shortfall charge?

A toner SLA shortfall charge applies when a toner cartridge is replaced before it has reached the minimum yield required under the Service Level Agreement. The charge covers the shortfall in pages not met and is billed at the toner’s cost-per-page rate.

## How is the shortfall calculated?

Toner cartridges are rated for a specific number of pages based on 5% page coverage. Under the SLA, at least 60% of that rated yield must be reached before the toner is considered used up.

The calculation follows this pattern:

1. Check the cartridge’s rated page yield.
2. Calculate 60% of that yield.
3. Compare the actual pages printed against that threshold.
4. If the cartridge is replaced early, the pages not met are billed as a shortfall.

## When does a shortfall charge apply?

A shortfall charge applies when a cartridge runs out before reaching the 60% yield threshold. In that case, the shortfall portion is billed separately from the standard service charge.

If a toner replacement is requested as a spare or back-up unit, it is quoted at the normal unit price rather than the shortfall value.

## Why can a charge appear even if the printer does not show the toner as empty?

The printer may only alert when the toner is almost empty. Replacement may be triggered earlier on the service side so there is enough time to dispatch the toner before it runs out completely.

## What should you do when you receive a shortfall notice?

1. Review the shortfall quote.
2. Confirm whether you want the toner released for dispatch.
3. If you already have a spare toner on hand, advise that it can be disregarded.
4. If you have questions about the charge, request a call from your account manager.

## What happens after approval?

Once approval is received, the toner can be released for dispatch and the shortfall amount is billed to the account.

## Troubleshooting: Why was a shortfall charge applied this time?

A shortfall charge may appear after a period of normal replacements if the current print volume or print coverage causes the cartridge to fall below the required yield threshold. Toner yield is based on 5% page coverage, so heavier coverage on printed pages can reduce the effective toner life and trigger a shortfall.
